Our ongoing process to build an AI-forward design system that supports work today, while carrying us into tomorrow.

As Copilot steadily evolves into a thought partner—an intelligent presence woven into your workflow—its backbone will become the Copilot Design System, an AI-forward design system we’re crafting to feel intentional and humane.

Design systems have always been living blueprints but in today’s era of AI-first product making, they don’t just consider interface design. They orchestrate coherence across complex systems, codify how to shape model behavior with a human-centric lens, and introduce new user behaviors and mental models rooted in AI’s ability to recognize and support human intent.

From orchestration patterns to iconography, the experience we’re building will ultimately have components that work together to amplify thinking, guide decisions, and unlock creativity—seamlessly, wherever you work. Anchored in customer feedback around creating better experiences, a fundamental question guides our system’s evolution: how would a thoughtful partner look and behave?

The system that shapes the system

Microsoft 365 apps have shaped organizational behavior for decades, establishing design patterns and mental models that billions of people rely on every day. Through that work, we’ve learned that productivity isn’t just a function of tools; it’s shaped by the broader system people think and work within. We can now bring these dimensions together through Copilot, supporting richer forms of collaboration and creativity across human-human, human-AI, and human-AI-human interactions.

How we design that partnership will influence how productivity unfolds across organizations big and small, today and ten years from now. Our design philosophy was to build at the speed of life, not AI hype—co-creating with customers and embedding user research into every step of the process.

Architecting Copilot across the Office apps

As we begin moving toward an AI-first design system, an early but essential part of that story is how Copilot shows up across Office apps. Four key architectural elements currently comprise the in-app system, designed to work how humans think. Cognition isn’t a fixed state. It’s a dynamic movement between exploration and focus, a lens continuously zooming in and out. These two movements—outward to discover, inward to refine—cycle continuously, shaping how we understand and act on the world. If intelligence doesn’t meet you at the right level of that cycle, it doesn’t feel like a partner. It feels like an interruption.

That insight is the structural foundation of how Copilot behaves across Office apps. It sees what you’re working on and understands the context, allowing it to act within the given environment. We implemented this through four architectural elements that operate at different cognitive levels:

An always-available, in-app Copilot that is contextually adaptive and a primary entry point to Chat.

One Copilot, wherever you work

Human behavior is deeply contextual and nuanced—how something is said or done often matters just as much as what. People make sense of the world as they physically and mentally move through it, including the liminal spaces between more defined moments. Associated words, feelings, experiences, and thoughts flow alongside us—but intelligence without continuity can feel like an interruption instead of a thought partner. Changing apps or surfaces can be like drifting out of the current. You should be able to invoke Copilot every time you move through your work.

Collaborative cognition draws from past conversations to understand context, recognize patterns, and change direction. That means the same Copilot you interacted with in Word should be the same one you converse with in Excel. Across M365, DAB serves as your go-to thought partner across desktop, web, iPad, and mobile.

On each in-app surface, DAB recognizes its immediate local context. It’s how Copilot consistently follows your train of thought, offering relevant and actionable suggestions while keeping your conversation continuous across apps—adapting its awareness when you shift context, so you don’t have to rehash the same conversation you just had on another surface.

Selecting DAB opens Chat, the universal interface of Copilot. More than just an interface, Chat is your thought partner’s memory—logging all your Copilot interactions and suggestions across Microsoft 365 so you can draw from prior knowledge, update your strategy, and refine your vision. It’s where broad exploration lives: a space to synthesize, question, and look backwards in order to move forward.

When the lens narrows, On-Canvas brings Copilot directly into your workspace. Your thought partner appears through contextual UI at moments of execution, focusing on the specific content you’ve selected—transitioning from the broad context of the app to the precise content of your document, supporting you right where you work without disrupting your flow.

Rounding out the system, Suggested User Actions adapt across DAB, Chat, and On-Canvas to provide contextually helpful next steps at every point along the cognitive spectrum—whether you’re staring down a blank page or a draft that needs a spark. They surface only when purposeful, offering the nudge that gets you above and beyond.

A new pattern: Throw & Catch

The heart of the in-app aspect of the experience is a mutual awareness of focus, yours and Copilot’s, and how the two stay aligned. It reinforces the concept of Copilot moving with your thinking, instead of acting as a set of fragmented features. To get that right, coherence must be designed with nuance or you lose people’s behavioral contexts. It requires a deep understanding of how people think, create meaning, and evolve ideas as they move through their work—the starting point for our research.

Based on mouse-tracking studies and prototyping explorations across a multidisciplinary team, we designed a working mechanism that governs how Copilot moves fluidly between DAB, On-Canvas, and Chat: an orchestrated ensemble we call Throw & Catch. The system’s entry points have to routinely talk to each other—smoothly handing off interactions and reasoning while directing you to wherever Copilot is focused.

By timing and signaling an entry point’s active behavior just right while the other recedes, the pattern aims to build trust and lower cognitive friction. Whichever surface Copilot is active on, its behavior becomes visible and distinctive. The experience of Throw & Catch is designed to be ambient and lightly felt, affirming that you are in control—making Copilot just an extension of your thinking. Always wherever you are, at your level of focus.

Coherence you can feel, across every surface

Designing a thought partner is the quiet work of shaping an experience that listens, responds, and moves with the rhythm of a person’s thinking. Because AI can now be designed to respond to your intent rather than ask you to adapt to it, the opportunity in front of us is profound—and the responsibility to get it right is equally large. From foundational patterns like Throw & Catch to the core architectural elements, a deep understanding of human and organizational behavior is guiding the creation of how Copilot behaves across the productivity apps you love. With a unified design language, fast and delightful interactions, and contextual access, Copilot is becoming more consistent, discoverable, and embedded—crucial for keeping customers in flow, augmenting human thinking and creativity, and comfortably bringing current and future customers into the AI era.
